Office Assistant

Part-Time, 20-25 Hours Per Week

The office assistant is responsible for administrative work for Circle Tail, Inc., and will assist the Executive Director in the execution of the responsibilities of the organization.

Duties include, but are not limited to:

  • General office work, including but not limited to: maintaining the filing system, compiling weekly, monthly and yearly statistics, and mailings, data entry, answering and returning phone calls.
  • QuickBooks data entry and compiling of reports.
  • Administration of CRM software (Salesforce).
  • Management of animal, veterinary care and donor/mailing lists database and information.
  • Assisting with service/hearing dog team reports, records and follow up forms as necessary.
  • Interacting with the general public, potential donors, volunteers and others via phone, email and in person.
  • Maintaining the administrative, adoption and volunteer email accounts.
  • Scheduling and communicating with training and other clients.
  • Greeting clients, direct them to various locations.
  • Overseeing training center activities.
  • Coordinating onsite and offsite volunteers, including foster families. Tasks may include scheduling of training center activities, educational programs, coordinating foster family pick up/drop off of dogs and compiling event supplies.
  • Other administrative and/or training center tasks as directed.
  • Adherence to dress code. Circle Tail shirt, be neat in appearance.

Office Assistant Qualifications

  • Must be over 21 yrs of age.
  • Must be able to manage large complex spreadsheets, website content and be able to work under tight deadlines.
  • Must have experience with Microsoft Word and Excel.
  • Experience with accounting software such as QuickBooks and CRM software such as Salesforce preferred.
  • Works well in a fast pace atmosphere.
  • Strong initiative and ability to work independently without micromanagement.
  • Excellent organizational skills with the ability to multitask.
  • Excellent verbal and written communication skills.
  • Interest in animal welfare and Circle Tail’s mission.
  • Have a valid driver’s license, reliable transportation and work scheduled hours.
  • Maintain a professional demeanor at all times during the scheduled work day.
  • Ability to work in a spirit of collaboration, cooperation, fairness and with good attitude to meeting the mission of Circle Tail, Inc.
  • In compliance with federal law, all persons hired will be required to verify identity and eligibility to work in the United States and to complete the required employment eligibility verification document form upon hire.

SALARY: Salary for this position will be discussed at the time of interview and will depend on qualifications.

HOURS: 20 to 30 hours/week, minimum five days/week, typically Monday through Friday. Some weekend hours may be needed at times.
